The Extra Help Immigration Specialist (EH25-147) is primarily responsible for managing, coordinating, processing, signing, submitting, and tracking all immigration-related materials for international faculty members. This includes overseeing H1B Visa applications, facilitating permanent residency processes, managing travel documentation, and ensuring the accuracy and maintenance of all faculty immigration records. Additionally, this role will provide cross-training to identified staff members within the International Student and Scholar Services (ISSS) office to ensure efficient handling of immigration processes.
What You'll Be Doing:
H1B Visa Management: Coordinate and manage the entire H1B Visa application process for international faculty members, ensuring compliance with federal regulations and timely submission of required documentation.
Permanent Residency Facilitation: Oversee and facilitate the process of permanent residency (green card) applications for international faculty, working with faculty members and immigration attorneys to gather required documents and submit applications in compliance with government requirements.
Travel Documentation: Ensure that international faculty members receive timely and accurate travel documentation, including but not limited to I-20s, DS-2019s, and other visa-related materials necessary for international travel and re-entry into the United States.
Immigration Record Maintenance: Maintain comprehensive and up-to-date records for all international faculty members' immigration statuses, ensuring the security and confidentiality of all sensitive data in compliance with institutional policies and federal regulations.
Compliance and Tracking: Regularly track and monitor the status of all active immigration cases and ensure that all deadlines, extensions, and renewals are met. Serve as the primary point of contact for international faculty regarding the status of their immigration materials.
Cross-Training: Provide cross-training and support to designated ISSS office staff on immigration-related processes and procedures. Develop and deliver training materials to ensure staff proficiency in processing and managing faculty immigration requests.
Advisory Role: Serve as an immigration liaison for international faculty, offering guidance and answering questions related to visa options, status maintenance, and immigration procedures.
Collaboration with Legal Teams: Work closely with immigration attorneys, faculty affairs, and other administrative offices to facilitate the accurate and timely processing of immigration applications.
Minimum Acceptable Qualifications
Minimum Qualifications: 1. One (1) year (12 months) of responsible work experience in immigration counseling and visa application filing or in a higher education setting performing international student/scholar advising, international student recruitment or international student admissions 2. Any one or any combination of the following, totaling three (3) years (36 months) from the categories below:
Progressively more responsible work experience in immigration counseling and visa application filing or in a higher education setting performing international student/scholar advising, international student recruitment, or international student admissions
College coursework leading to a major in business administration, education administration, one of the social or behavioral sciences, a foreign language or one related to foreign affairs/service
60 semester hours equal one (1) year/12 months
90 semester hours equal two (2) years/24 months
120 semester hours or a Bachelor's degree equals three (3) years/36 months
Note: A Master's degree in Education Administration, Counseling, International Relations, International Development, Cross Cultural Communication or Communications meets Credential #2.
Individual must have at least 7 years of experience in immigration counseling and visa application filing in higher education context.
Thorough working knowledge of immigration law procedures applicable to foreign national faculty at a University, including knowledge of filing procedures, permanent residency requirements, and H1B requirements.
Ability to prepare immigration documents for review by legal counsel and others.
Ability to interview Deans, Chairs and faculty to determine Visa needs.
Ability to communicate effectively with persons from many different nations and cultures who have varying degrees of understanding about U.S. Federal laws and requirements.
Ability to effectively administer, organize, prepare, and maintain immigration records, reports and correspondence.

Extra Help employees are appointed to fulfill casual or emergent needs within the university. The amount of time for which services are needed is not usually predictable and payment for work performed is on an hourly basis and based on actual hours worked. Workdays and hours may vary according to departmental requirements. Extra Help employees do not receive SIUE benefits, holiday pay or paid sick or vacation leave.
Extra Help employees are required by State Universities Civil Service System rules to take a 30-calendar-day break after working 900 hours. At the end of the 30 days, you may begin another 900-hour employment cycle in a new position if available. Working Extra Help will in no way affect any other employment opportunities with SIUE, including your position on and Civil Service register. There is no guarantee that working as Extra Help will lead to or secure permanent employment.
Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position.
Illinois residency requires proof of a valid Illinois Driver's License or state of Illinois ID Card. Failure to produce the required documentation within 180 calendar days will result in immediate termination of employment.

Additional Information: This position does not offer work authorization sponsorship. International students at SIUE on F-1 or J-1 visas are not eligible for full-time or part-time civil service positions with permanent status. F-1 and J-1 visa holders must be enrolled full-time and can only apply for temporary part-time roles working 20 hours or less per week during spring and fall semesters, such as student worker positions, assistantships, and civil service extra help roles. SIUE is a state university, and it's important to highlight that benefits from state-sponsored plans may not be accessible to individuals on F1 or J1 visas.
