Job Description:

Job Purpose:



Our Senior Office Assistant will execute and coordinate activities within a facility to ensure efficiencies for current employees and visitors.



Job Responsibilities:

• Administer headquarters' facilities budget, ensuring all expenses are properly accounted for and within budget.
• Assist with office layout planning, moves and new-hire setups and maintains office floorplans.
• Coordinate with maintenance and office supply vendors on deliveries, negotiations, upgrades, etc.
• Organize and maintain inventory of breakroom, conference room & office supplies and furnishings.
• Provide basic and accurate information in-person and via phone/email to internal and external customers/clients/employees.
• Greet and direct visitors and provide a positive first impression and maintain neatness in lobby and other common areas.
• Receive and sort incoming mail, process outgoing mail, maintain postage machine and related records.
• Assists with maintaining office security by following safety procedures and controlling access via the reception desk.
• Performs other clerical receptionist duties such as filing, copying, meeting organizing, etc.
Identifies opportunities for process and office management improvement.



Additional Responsibilities & Qualifications:


  • Manage the facility operations and communications of the Chandler, AZ and Chamblee, GA Design Centers including liaison to landlord, Real Estate team, EHS & Risk team, Corporate Security, and facility management vendors.

  • Maintain facility expenses per annual budget and owns PO and invoice processes for Design Network.

  • Partner with Environmental Health & Safety (EHS) teams to develop, implement and maintain plans for Design safety and security practices, processes, and procedures.

  • Maintain US Design Center digital inventory, order materials and supplies and prepare design teams for delivery.

  • Partner with Indirect Sourcing to maintain and negotiate contracts, vendor/service providers, conduct contract renewals, and schedule service as needed.

  • Proactive approach with strong problem-solving, ownership and attention to detail skills are required.

  • Conflict resolution and maintaining confidentiality.

  • Understanding OSHA regulations and standards, preferred.


Work Experience:

• 3-5 years of related job experience.
• Ability to manage multiple projects, work under pressure, and adapt to sudden changes in the work environment.
• Ability to work quickly and efficiently.
• Excellent verbal, written, people, and diplomacy skills are required.
• Experience of planning, managing and organizing resources within short/medium timescales within the overall policy framework.
• Proficient with Microsoft Office Suite.
• Strong customer service skills (friendly, courteous and helpful).
• Strong planning and organization skills are required.



Education:

• High School Diploma/GED Preferred
